Minutes of Meeting Held
Thursday, May 31, 2012

Attending:  Rick Helwig – Chairman, Tom Paul – Vice-Chairman (not present), Bill Comisford –Secretary (not present), Henry Shaw, Treasurer. Various members of the HQs.

Presentation:  Payton Seats gave a presentation on Civil War Telegraphy. 

Executive Officer’s Report:  Gave an update on Bob Horn. 

Vice-Executive Officer’s Report:  No report. 

Secretary’s Report:  Rick reported that the minutes of the April meeting will be posted on the website and to please review and let him know if any corrections need to be made.  Otherwise the minutes would stand approved as posted. 

Treasurer’s Report:  Henry gave a report on the status HQ and Memorial funds.  HQ - $4,289.92; Memorial Fund - $9370.52.  Treasurer’s report was approved and accepted. 

Past Campaigns:

May 18 & 19   School Day & Living History Day – Liz  reported that $665 was taken in on School Day and that Delaware City Schools would be sending a check for $72 more.  With the exception of a few last minute changes, things went well.  The Living History day had a steady but less than expected crowd due to the changing of the start date for the Farmers Markets.  The Education Committee will be meeting in the near future to completely review the event.

Upcoming Campaigns (all events need active participants):

June 9              Autumn Lakes Encampment – Event was discussed Val will be sending out more information about this event

June 25 – 26    Reynoldsburg Re-enactment, Signup sheet was passed around.   Rick will take care of registrations. Rick is the artillery commander for the event.

August 12-14  Hale Farm – Signup sheet was passed around

August 10-12  Harlem Twp

September       Delaware Horse Parade

Committee Reports:

Ladies Aid Society:  Sweet Magnolia BBQ & Chautauqua – Promotional material has been sent.  It was suggested that a second set of Email invitations should be sent out by all members to people in their contact lists that they think might be interested in coming.  Rick will check with Polly and ask her to send out another round to the BWAHS email group.

Fundraising:  No Report.

Education:  Will be meeting June 8 @ 7 pm to discuss the recent School Day & Living History Day.  All were in agreement that we should continue to do the School Day program.  It was also suggested that we sponsor an essay contest @ Rosecrans Elementary School next year and give away small sized T-shirts as a way of using them up.

Living History:  Discussed upcoming events including the Len Riedel’s (Blue Gray Tours Director) visit on June 11th and July 4th Parade (Rick will send in an application as soon as one is available)  Steve also announced that the SUV was to hold a memorial service at Camp Chase on June 10th @ 1 pm and invited everyone to attend.  Elizabeth announced that a CW Dance demonstration will be held at the Ohio State Fair on August 4th @ 11 am and invited those who wish to participate to let her know.

Rosecrans’ Memorial:  Rick announced that an agreement on an escrow account with the Village of Sunbury has been reached, but he has not received a final draft.  Steve announced some additional concerns that need to be addressed before the rock can be moved to The Square.

Business:  The following new business items were discussed:

Bylaws Change. Rick presented a proposal to amend the unit bylaws to add an At Large member to the Executive Committee.  A motion to amend the bylaws was made by Monte and Seconded by Elizabeth.  During discussion, several other changes were purposed.  Rick tabled the motion so that the new changes could be incorporated.  He will send out an email with the revisions to the members when he gets them done.  A vote on the changes will be held at the June meeting.
